RFQ Form Checklist for Shopify B2B and Industrial Parts Stores

Industrial parts and wholesale Shopify stores need RFQ forms that are specific enough to quote from, but simple enough for buyers to complete quickly.

Minimum RFQ fields

• Product, variant, SKU, or part number context.
• Quantity, target lead time, delivery country, company name, contact name, email, and phone.
• Customer notes for fit, material, certification, or replacement context.
• Attachments for drawings, photos, spec sheets, CSV line lists, or purchase requirements.

Upload rules

Allow practical business files such as PDF, PNG, JPG, WEBP, CSV, TXT, and DOCX. Reject ZIP, executable, script, HTML, and SVG files. Keep uploads private and serve them only through signed temporary URLs.

Abuse protection

Because app proxy RFQ routes are public, add rate limits, honeypot fields, optional CAPTCHA for abused stores, file upload limits, email send limits, and internal logs that explain the exact reason when a request is blocked.

Follow-up states

Do not collapse every request into open or closed. Useful states include new, reviewing, quoted, changes requested, approved, converted, needs merchant review, expired, void, and archived.
