Vamao Quote OS

Vamao Quote OS is a hosted Shopify app for B2B and made-to-order merchants who close sales through quotes instead of simple add-to-cart checkout. It turns quote requests into branded PDF approvals and Shopify draft order payment links without editing the theme.

The first version is focused on custom furniture and made-to-order sellers, with the same workflow also fitting industrial replacement parts, wholesale quoting, rental/event equipment, custom print, and other quote-led sales. Customers submit an RFQ, the sales team edits the quote, Quote OS generates a branded PDF, the customer approves or requests changes, and Shopify remains the final payment path.

What the quote workflow covers

• Storefront RFQ: product, collection, and cart quote buttons using a theme app extension and Shopify app proxy.
• Sales workspace: product, custom, service/labor, shipping, discount, and tax lines with internal cost, margin preview, MOQ warning, lead time, validity date, deposits, payment terms, and separated notes.
• PDF quote delivery: merchant-managed active template slots with logo, color, footer, terms, quote version hash, watermark, approval block, line item table, tax, shipping, discount, and total summary.
• Customer approval: signed single-use approval tokens, self-serve approval, change requests, and approval proof.
• Shopify payment link: draft order creation after approval by default, with optional inventory reservation and no unsafe draft order updates after invoice URL issuance.

Why it is different from a basic RFQ button

Most quote apps stop at a storefront request form. Vamao Quote OS is built around the sales representative's workspace: immutable revisions, quote timeline, PDF regeneration, resend, retry draft order, internal/customer-visible notes, attachment handling, and clear operational states when inventory or totals need review.

Draft order safe mode

Vamao Quote OS treats Shopify draft orders as payment-link outputs, not as mutable quote drafts. The quote version is the source of truth. Once a payment link is issued, Quote OS does not update that draft order. If the merchant needs to change the offer, the app reopens the quote as a new version and creates a new draft order after approval.

How the plans work

Starter is $19/month for small shops that need 50 quote requests, 1 active template slot, 1 team seat, and manual draft-order handling.

Pro is $49/month for the main quote workflow: 300 requests, 3 active template slots, 3 team seats, customer approval links, and automatic draft order creation.

Growth is $99/month for B2B teams that need unlimited requests, 10 active template slots, 10 team seats, proof, exports, and stronger analytics.

Scale is $199/month for larger merchants that need unlimited requests, 25 active template slots, 25 team seats, API access, priority queues, advanced audit controls, and store-domain app proxy approval flow.

Template slots are not a promise of separate prebuilt design packs. They are the number of active merchant-managed PDF/quote templates a workspace can keep available for brands, product lines, or sales workflows.

Shopify Billing subscription path

Merchants can start from the Shopify App Store or from the VamaoLabs product page. Either way, Shopify app subscriptions go through Shopify OAuth and Shopify Billing. VamaoLabs/Stripe checkout is reserved for non-Shopify products, not Quote OS app subscriptions.

Compliance and security included

Quote OS keeps protected customer data scoped to the quote workflow. Email, phone, company, address, approval IP/user-agent, PDFs, and attachment metadata are encrypted. Compliance webhooks support customer data requests, customer redaction, and shop redaction. Public approval, PDF, and asset routes are stateless and signed-token based.

Who should use it

Use Vamao Quote OS if your Shopify store sells custom furniture, made-to-order goods, wholesale orders, industrial parts, rental packages, or other products where customers expect a quote before payment. It is intentionally narrower than a CRM and more complete than a contact form.
